Below is a transcript of another hypothetical Online conversation, or THRD, between Jim@bcidot.org  and members of a M)inistry F)inance Team - MFTeam; the MFTeam members consist of PAT (Ministry Executive), LEE (Volunteer Board Treasurer),  and FRAN (Ministry Computer Bookkeeper).  Click here and go to List of threads (THRDs) at www.bcidot.org

FR: PAT

Jim, I am the Executive Director of a non-denominational Mission Agency with some 100 missionary units and various special projects. Lee, Fran and I have been having some rather "platonic" discussions in recent days.  With various financial electronic capabilities these days, we have been dreaming about "wouldn't that be nice if we could do such and such" here at our Ministry.
Based on your perspective, Jim, please set forth what you think would be the "ideal" Mission Agency finance system for us.

            FR: JIM

Very interesting, Pat.  Not too long ago I did something very similar.  Please review in depth the content of   8888 , where we share regarding a   Mission Web Contact and QB Monthly Settlement System.  Below I have copied some of system's features appearing within this publication.

    > All Missionaries would be required to have the necessary  Credit Union Bank Account plus Computer/Internet system as part of their initial Missionary Start up, etc..
    > HDQs uses the WEB CONTACT SYSTEM to process the Donations and sends out the Donor's receipt  ---- some via Donor's Email address.
    > HDQs electronically provides
QuickBooks (QB) with the necessary information for the  Settlement System  (see below) for financial transaction processing and monthly Settlement of  money in the Missionary and/or Project Funds.
    > HDQs updates the above referenced WEB CONTACT SYSTEM from latest information accompanying Donation processing
    > Missionary updates the WEB CONTACT SYSTEM from anywhere in the world- especially providing the latest Contact Email address .
    > Missionary produces their periodic Contact Prayer letter, or correspondence, via their Word Processor and Emails it to  HDQs, or to the party doing this mailing for them in the states, etc.
    > Missionary would pick and choose who is to receive their Prayer Letter, etc.
    > Missionary could pick and choose who is to receive
HDQ's periodic Appeal mailing.
    > Missionary uses this WEB CONTACT SYSTEM to do (or have someone else do) their periodic Supporter Mailing. Remember, this mailing can be send via Email.
    > HDQs uses this
WEB CONTACT SYSTEM to process it's periodic Appeal or Contact correspondence to applicable constituent .... maximize use of Email.

Please review in depth the content of  0035; in this publication we  have set forth some E-Finance ideals for a variety of Ministries. But I believe your Ministry Finance Team will find 8089  of most interest because here I have set forth some answers to the question:  "What would happen if Jim B was the Volunteer Board Treasurer of a Mission Agency."  This 8089 publication provides  'much'  relevant information on this web site under the following categories:

1>  REPORTING AND UNDERSTANDING MISSION AGENCY FINANCES
2>  MONTHLY/PERIODIC SETTLEMENT PROCESS AND ISSUES
3>  CURRENT FINANCE ACTIVITY ACCOUNTING EMPHASIS
4>  MAKE FULL USE OF INTERNET AND COMPUTER SYSTEM TOOLS
 5>  MISSION AGENCY FINANCE POLICIES
6>  MEETING RE MISSION AGENCY FINANCES
 7>  EFFECTIVE SPENDING MANAGEMENT
 8>  MAXIMIZE INTERNAL FINANCIAL CONTROLS
9>  MANAGE BANK BALANCES AND INVESTMENTS
10> 21ST CENTURY MISSION AGENCY REVENUE ISSUES
11> PAY BILLS ELECTRONICALLY
12> PAYROLL - RETAIN SOMEONE ELSE TO DO IT
13> AUDITOR MATTERS

FR: PAT

This all sounds VERY VERY interesting. Remind me about the Credit Union named ECCU, Jim.

            FR: JIM:

ECCU is now a good sized financial institution in the business of meeting the realistic needs of its members anywhere in the USA --- and the world ..... either individuals or Ministries. I encourage you to use a Credit Union or ECCU's present resources and ask for more, (See Footnote 1) as needed. The more members who express such needs, the more responsive they can usually be.

FR: PAT

Boy, Jim, the three of us sure like much of what you have just shared. What can we do to bring this to some form of reality??

            FR: JIM:

I would be willing do some Online 'pioneering' with you; contact us at  Jim@bcidot.org  .
