TOPICAL OVERVIEW: This Church would like to combine the Church Giving DataBase and QuickBooks (TM) (QB) . This dialog encourages a separate Church Giving DataBase and makes some Counter processing suggestions.     FILE: 2016-07


TO FORUM:     
  • I am considering using QuickBooks (TM) (QB)  at our medium sized church.   One thing I want to be sure I can do before investing the time and dollars is this:
  • Is it possible to enter the deposit in such a way that the members ' offerings are credited to several different fund;
  • And, at the same time keep track of the total giving done by each person during the year?,
  • Also, is there a way that the people counting the $$ can do this without having access to the entire data base, since it is our policy that only certain church officials know member giving info?
  • Can you help me as I need to do the appropriate things ASAP.

>>  You will observe that we are suggesting a non integrated DonaMail database.  We advocate that the church maintain one name and address file (DonaMail database) .... used for both giving information plus mailing and membership tracking.  Some churches prefer to separate these two areas, but it seems unnecessary ---- specially when QB can use the DonaMail supplied Fund Info and then so efficiently record a deposit (often via the QB memorization process) by splitting   the total to the applicable funds.
>>  Also with a separate DonaMail database you can meet your objective of giving confidentiality.  The DonaMail database system (like the software product known as Membership Plus) can restrict access to the donor giving info.
 part of the weekly counting process, with adequate supervision, this team could do the posting to the DonaMail system (using a laptop via the church's network), proof individual batches and then have the system assist them in balancing and providing Bank Deposit slips.
